Terms of Service

Effective 2 November 2026

These terms apply when you use RallyFlow, a tool for running pickleball open-play queues and court rotations, operated by LEXERS IT CONSULTANCY (“we”, “us”). By creating an organizer account or joining a session, you agree to these terms and to our Privacy Policy. If you do not agree, please don't use RallyFlow.

The service

RallyFlow helps organizers manage sessions: checking players in, keeping a queue, suggesting matches for each court and recording results. Players can join a session with a link or code to follow the queue. Organizers can also run tournaments. Open play is free of charge; tournaments are a paid upgrade after each club's first one, as explained under Paid upgrades. RallyFlow is an early version, and features may change, be added or be removed as we improve it.

Match suggestions

Suggested matches balance waiting time, games played, partner and opponent variety, partner requests and skill ratings. They are suggestions, not guarantees: with the players available, a perfectly fair or evenly matched game is not always possible. Organizers decide which matches are played and can change any suggestion. Leaderboards and statistics depend on the results organizers record and are for fun and fairness, not official rankings.

Organizer accounts

  • You must be at least 18 and give a valid email address. Keep your password private; you are responsible for activity on your account.
  • The person who creates a club is its owner and may invite other organizers. Organizers can see and manage all of the club's sessions, so invite only people you trust.
  • Tell us promptly at support@rallyflow.app if you think someone else is using your account.

Your responsibilities

If you organize sessions, you agree to:

  • add players only with their knowledge, and use names they are comfortable showing to the group;
  • for minors, use a first name or nickname and have a parent's or guardian's permission;
  • share session links and codes only with your group, since anyone with them can see the session's queue and results;
  • record results honestly and treat ratings as private, respectful estimates.

Everyone agrees not to:

  • enter offensive, false or another person's private information, or impersonate someone;
  • try to access clubs or sessions that aren't yours, break or overload the service, or get around its security;
  • use RallyFlow for anything unlawful.

We may remove content or suspend accounts that break these rules.

Play safely

RallyFlow only organizes the queue. It does not run, supervise or insure the games, the venue or the people taking part. Organizers, venues and players are responsible for court bookings, equipment, conduct, health and safety, and any fees between them.

Donations

Organizers may be offered a way to support RallyFlow, such as paying with a QR Ph code through PayMongo. Donations are voluntary gifts: they don't buy features, priority or any service level, and they are processed by PayMongo or the platform we link to, under its terms. Contact us at support@rallyflow.app if you believe a donation was made by mistake.

Paid upgrades

Each account can run its first tournament free, in any club it owns. More tournaments need a paid upgrade, bought by the club's owner for their own account. Pro lasts 30 days and includes one tournament in any club the owner owns, with Pro features such as the club's own branding on court displays in the club that runs it (or the club it was bought from); more tournaments can be added while it runs. Max (30 days) and Pro Max (3 months) allow unlimited tournaments with Pro features in up to 3 clubs the owner owns, or more if extra clubs are bought; the owner chooses which clubs they cover. Features stop when the plan ends, and unused tournaments stay with the account. Prices are shown in pesos before you pay. Payments are one-time QR Ph payments processed by PayMongo under its terms; nothing renews automatically. A tournament uses Max, the owner's free tournament or a purchased one when its first match starts, and a tournament that has started can always be finished. Co-organizers of a club can use its owner's plan.

Session fees

Organizers with Pro, Max or Pro Max can ask players for a session fee. Players pay the organizer directly, by scanning the organizer's own payment QR (from their GCash, Maya or bank app) or at the venue. RallyFlow doesn't process, hold, refund or guarantee session fees: it only shows the organizer's payment details and helps them keep track of who says they paid and who they marked as paid. Questions about a session fee, including refunds, are between the player and the organizer. The organizer's payment QR, account name and note are visible to anyone with the session's link or code. Organizers are responsible for the payment details they upload and for collecting fees lawfully. A player can always join and play while their fee is unpaid; whether to let them play is the organizer's call.

Group pay

Any signed-in organizer can make a group pay link that splits a cost they paid for a group, such as a court booking, into shares. Players pay the organizer directly, by scanning the organizer's own payment QR or in person. RallyFlow doesn't process, hold, refund, guarantee or chase these payments: it only shows the organizer's payment details and each share, and helps the organizer keep track of who says they paid and who they marked as paid. Questions about a payment, including refunds and cancelled games, are between the player and the organizer. The organizer's payment QR, account name and note, and the names, amounts and payment statuses on the link, are visible to anyone with the link, so share it with your group only. Organizers are responsible for the payment details they upload, for the amounts they ask for, and for collecting payments lawfully. Free accounts can have a limited number of open links and spots; paid plans raise those limits.

Refund and Cancellation Policy

RallyFlow offers paid upgrades and premium features to tournament organizers. By purchasing any paid upgrade, you acknowledge and agree to the following terms:

  1. Non-Refundable Payments. All payments for paid upgrades, subscriptions, and premium features are generally non-refundable, except where required by applicable law or expressly approved by RallyFlow.
  2. Tournament-Related Purchases. Payments associated with a specific tournament are non-refundable once the tournament has officially started, regardless of whether the organizer or participants subsequently decide to cancel, discontinue, or modify the event.
  3. Before Tournament Commencement. Refund requests submitted before a tournament begins may be reviewed on a case-by-case basis at RallyFlow's sole discretion.
  4. Technical Issues. If a paid feature becomes unavailable due to a verified technical issue attributable to RallyFlow, we may, at our discretion, provide an appropriate remedy, such as restoring access, extending the service period, or issuing a refund where warranted.
  5. Cancellation of Paid Services. Organizers may discontinue their use of paid features, but cancellation does not automatically entitle them to a refund for payments already made.

Nothing in this policy limits any consumer rights or remedies that cannot legally be excluded under applicable laws and regulations. To ask about a payment or a refund, email support@rallyflow.app with your club name and the date of the payment.

Your content

You keep ownership of the information you add, such as club names and results. You give us permission to store, process and display it only as needed to run RallyFlow for you and the people in your sessions, as described in the Privacy Policy. The RallyFlow name, logo and software belong to us.

Availability

We work to keep RallyFlow running, but it is provided “as is” and “as available”. It needs an internet connection and may be interrupted by maintenance, outages or connection problems at the venue. Keep a simple backup plan (such as a paddle rack) for important events.

Limitation of liability

To the extent the law allows, we are not liable for indirect or consequential losses, or for disputes between organizers, venues and players, arising from the use of RallyFlow. Nothing in these terms limits rights you have under Philippine consumer protection laws that cannot be waived.

Ending your use

You can stop using RallyFlow at any time. Organizers can delete their account from the Account page, choosing to hand each club they created to a co-organizer or to delete it, or ask us to do this by emailing support@rallyflow.app. We may suspend or end access that breaks these terms, and we may discontinue the service with reasonable notice to organizers.

Changes and governing law

We may update these terms; we will change the date at the top and tell organizers about important changes before they take effect. Continuing to use RallyFlow after that means you accept the updated terms. These terms are governed by the laws of the Republic of the Philippines.
